Job description
For one of our clients located in Brussels, we are looking for Project Management Officer (PMO). The ideal candidate will have a minimum of 5 years of experience in a similar role, supporting program management through coordination, administration, and data management tasks. The PMO will work closely with the Program Manager to ensure seamless project execution, from planning to completion.
Responsibilities
Administrative Support:
- Assist in the preparation and consolidation of time tracking reports.
- Oversee project budgets and monitor expenditures.
- Prepare presentations and documents for steering committee meetings and management updates.
- Maintain and organize detailed project documentation and files.
- Coordinate logistics for meetings, including room bookings and necessary facilities.
Coordination & Communication:
- Manage meeting scheduling, preparation of agendas, and take minutes during key sessions.
- Act as a liaison between project stakeholders and team members to facilitate communication and support change management activities.
- Assist in creating and distributing regular project status reports and updates.
- Facilitate the onboarding process for new program members.
Task Management:
- Track project timelines, key deliverables, and milestones.
- Support the identification and mitigation of project risks and issues.
- Assist the Program Manager with daily project management tasks.
- Maintain and update the Program handbook, ensuring accuracy in processes, terminologies, and organizational charts.
Data Management:
- Gather and analyze project-related data to inform decision-making.
- Ensure data accuracy and maintain integrity within project management tools and systems.
Criteria
Competencies
- Bachelor’s degree in Business Administration, Information Technology, or a related discipline.
- A minimum of 5 years of experience in a PMO or project support role, particularly in business and IT transformation projects.
- Knowledge of project management methodologies such as Agile, Scrum, and Waterfall.
- Strong organizational and time management skills with the ability to manage multiple tasks.
- Proficiency in project management tools like Microsoft Project and JIRA.
- Proficiency in Microsoft Office applications (Excel, Word, PowerPoint).
- Fluency in English and Dutch; trilingual candidates are highly preferred.
